Employee Development Day
Purpose
Supported the planning and execution of a hybrid Employee Development Day designed to foster connection, growth, and engagement for over 140 in-person and virtual attendees. The event aligned with leadership’s goals to develop talent, recognize contributions, and build cross-departmental unity.
Process
The project management team coordinated all logistics for a hybrid Employee Development Day. Each detail was planned to create a smooth, engaging experience for all participants. The process included the following:
Project Management & Planning
Created a 15-minute master agenda, managed an inventory check, developed setup and day-of checklists, and confirmed speaker gifts and transportation needs for the day.
Venue & Logistics
Researched venue options, coordinated stakeholder review, reserved the space, submitted deposit, and confirmed final logistics, ensuring a smooth flow from setup to teardown.
Agenda Creation
Collected details from stakeholders, oversaw copy, design, and review cycles, submitted materials for printing, and ensured on-time pickup and delivery.
Presenter & Presentation Management
Sent initial outreach and reminders to presenters, coordinated design and delivery of 6+ presentations, and locked files in a shared system for final review.
Audio Visual Setup
Completed AV planning checklists, coordinated setup and testing for all equipment, and executed full venue cleanup post-event.
International Attendee Experience
Integrated a hybrid model with live access for global employees, ensuring tech compatibility and clear communication across time zones.
Catering & Hospitality
Sourced bids, presented options via stakeholder reviewed decks, confirmed reservations, coordinated parking, and finalized buffet selections based on RSVP counts and dietary needs.
Design & Brand Experience
Designed and distributed nametags and signage, routed approvals, submitted print jobs, and managed branded swag from ideation to assembly and pickup.
RSVP & Messaging Campaigns
Oversaw communication strategy including save-the-date, RSVP emails, and follow-up reminders, resulting in full attendance from local and international teams.
Perspective
During this event coordination, we ensured every detail was designed to support a smooth, uplifting experience. Seeing employees connect, learn, and leave more energized reminded me that well-executed logistics create space for meaningful impact.
